Main Committee Roles and Duties

Chairperson
1) To conduct the business of the Association in accordance with the constitution.
2) Prepare the agenda in consultation with the secretary.
3) Make sure that any information required to aid discussion is available or the committee is organised to research and provide it.
4) Be aware of the purpose of the meeting and if necessary, by re-capping the previous meeting.
5) Define discussion items or areas for action.
6) Set the tone of the meeting. I.E. formal or informal.
7) Conduct the meeting efficiently and effectively and within a structure.
a. Take each item in turn.
b. Facilitate discussion and keep it on track.
c. Keep to time limits.
8) Summarise.
a. Put any question to the vote.
b. Recap any debate.
c. Clarify decisions and actions to be taken.
d. Check commitment.
9) Ensure that agreed actions are taken.

Secretary
1) Prepare and issue notices and agendas of all meetings in consultation with the chairperson, and to ensure that any background papers are available well before the meeting.
2) Attend and take minutes of every committee meeting.
3) Circulate minutes to all committee members, and to conduct the correspondence.
4) Notify all members of AGM.
5) Present an annual summary report to AGM.
6) Act at all times under the direction of the committee.
7) Maintain links to subgroups within the association.

Treasurer
1) Be responsible for advising the committee for the financial activities of the association.
2) Advise the committee of suitable uses of funds.
3) Account for all other monies collected on behalf of the association.
4) Maintain accurate accounts, including a record of debtors and creditors.
5) Provide timely income and expenditure returns to committee meetings.
6) Submit a financial report to the AGM.
7) Ensure the safe keeping and retention of all financial records and information.
8) Pass on retiring from office, all books, papers and monies to the incoming elected Treasurer (or to the chairman).
